Collins Aerospace is seeking a Staff Coordinator to provide high-level administrative and operational support to the Operations Strategy & Transformation leadership team. In this role, you will directly support four executive leaders while also partnering with extended teams and business stakeholders across Collins Aerospace. You will manage complex calendars, coordinate meetings and travel, prepare leadership communications, support team activities, and take ownership of special projects and administrative processes.

Your mission: to provide proactive, organized, and highly responsive support that enables senior leaders and their teams to operate efficiently in a fast-paced global environment. You will serve as a trusted point of contact, anticipate leadership needs, manage competing priorities, and ensure meetings, communications, travel, and administrative activities are executed seamlessly.

This remote position is based at our Santa Isabel, Puerto Rico location. You must be residing in Puerto Rico at the time of starting employment. Relocation is not offered.

What You Will Do:

• Provide proactive and responsive administrative support to four executive leaders and their extended teams in a fast-paced, highly visible environment.
• Manage complex calendars, prioritize competing requests, coordinate with senior leaders, and proactively resolve scheduling conflicts.
• Coordinate meetings, leadership reviews, staff meetings, and team events, including agendas, conference rooms, virtual meeting technology, catering, guest speakers, and other logistical requirements.
• Prepare presentations, briefing materials, spreadsheets, correspondence, agendas, and other leadership communications.
• Arrange domestic and international business travel, including airfare, hotels, ground transportation, and required documentation, while ensuring compliance with company processes.
• Process expense reports, invoices, and other administrative transactions accurately and in a timely manner.
• Attend meetings, capture and distribute notes and action items, track follow-up activities, and support timely completion of assigned tasks.
• Draft and distribute organizational communications, announcements, and priority updates while maintaining professionalism and confidentiality.
• Coordinate employee engagement activities, department events, and cross-functional initiatives that support team culture and collaboration.
• Maintain organization charts, distribution lists, office supplies, and other department resources while supporting onboarding and personnel exit processes.
• Serve as a key point of contact for internal and external business partners and collaborate with other administrative professionals across Collins Aerospace.
• Take ownership of special projects and new administrative responsibilities as business needs evolve.
• Travel up to 15% as needed to support leadership and organizational activities.

Qualifications You Must Have:

• HS Diploma or AA/AS degree (or other 2-year post high school training) with a minimum of 4 years of relevant experience.
• Experience providing administrative or coordination support in a professional business environment, with the ability to support senior leaders and manage multiple priorities.
• Proficiency with Microsoft Office 365 and virtual collaboration tools.
• Demonstrated professional or educational experience communicating in English and Spanish (verbal and written).
• U.S. citizenship is required, as only U.S. citizens are authorized to access information under this program/contract.

Qualifications We Prefer:

• Experience supporting executive-level leaders in a large, global, or matrixed organization.
• Experience with Concur, Ariba, SAP, or other enterprise business systems.
• Advanced proficiency with Microsoft Office 365 and electronic collaboration and video-conferencing tools.
• Ability to anticipate leadership needs, proactively identify issues, and resolve non-routine requests with minimal direction.
• Demonstrated ability to manage multiple priorities and deadlines while maintaining a high level of accuracy and professionalism.
• Experience coordinating large meetings, leadership events, employee engagement activities, or cross-functional initiatives.
• Comfortable learning new processes, systems, and technologies quickly and using them to improve productivity.
